Executive Assistant Imaging Physics

The Executive Assistant in Imaging Physics provides high-level administrative support to the Department Chair and Department Administrator to ensure the efficient and effective operation of departmental activities. This role is responsible for coordinating priorities, managing key administrative functions, and facilitating clear communication across leadership. The Executive Assistant plays a critical role in maintaining organizational efficiency within a complex, fast-paced academic and clinical environment.

The ideal candidate for Executive Assistant is an experienced administrative professional who has supported multiple senior leaders in a fast-paced clinical or academic environment. They are highly organized, adaptable, and able to manage shifting priorities with strong attention to detail and minimal supervision. Excellent communication skills and proficiency with Microsoft Office, Concur, travel coordination, expense reporting, and timekeeping are essential. Prior experience in healthcare or similarly complex institutional settings is strongly preferred, along with a proven ability to support high-level executives effectively.

Shift/Schedule: Monday-Friday (standard business operating hours)

Onsite Presence: Hybrid, with 3 days onsite and 2 days remote, 1st 6 months fully onsite

Minimum $25.48 - Midpoint $31.73 - Maximum $37.98 (hourly equivalent based on a 40-hour work week)

KEY RESPONSIBILITIES

Administrative & Clerical Support

• Provide high-level administrative support requiring sound judgment and discretion

• Manage incoming and outgoing mail/packages (UPS, FedEx, USPS, courier services)

• Maintain accurate records of purchase requisitions, expenditures, and supporting documentation

• Prepare and process financial ordering templates and maintain departmental databases

• Draft, edit, and proofread correspondence with a high degree of accuracy

• Troubleshoot and coordinate IT-related issues with internal support teams

• Ensure timely and professional communication across all inquiries

• Coordinate lab coat distribution and pickup for assigned faculty

Faculty & Leadership Support

• Manage complex calendars for the Department Chair and assigned faculty, including scheduling, updates, and reminders

• Coordinate meetings, lectures, and clinical schedules

• Arrange domestic and international travel, including flights, accommodations, and transportation

• Prepare and process travel reimbursements, expense reports, and leave documentation

• Draft memos, reports, manuscripts, and presentations; assist with formatting and editing of academic documents

• Record and transcribe meeting minutes and other materials as needed

• Maintain confidential files and records in an organized system

• Track action items and follow up on behalf of leadership

• Maintain and update CVs and NIH biosketches in institutional systems on a monthly basis

Faculty Recruitment & Credentialing

• Coordinate faculty recruitment logistics, including interview schedules, travel, and candidate visits

• Support onboarding and offboarding processes for faculty

• Prepare documentation for appointments, promotions, and committee reviews

• Process ePAFs and ensure compliance with institutional policies

• Track deadlines and ensure timely submission of required materials

• Maintain faculty credentialing and licensing records

• Assist with faculty evaluations and related communications

Additional Duties

• Perform other responsibilities as assigned to support operational needs

EDUCATION

Required: High School Diploma or equivalent

Preferred: Bachelor's Degree

CERTIFICATION

Preferred: Certified Professional Secretary (CPS) or similar certification

WORK EXPERIENCE

Required: 6 years of administrative/secretarial experience supporting a leadership/executive level position

Required: 2 years of experience with a Bachelor's degree

Preferred: administrative/secretarial experience supporting senior-level management or faculty in a healthcare/clinical setting
