The Executive Assistant to Department Chair provides high-level administrative support to the Department of Urology, with primary responsibility for supporting the Department Chair and partial support for assigned non-clinician faculty. The Executive Assistant to Department Chair plays a critical role in enabling departmental operations by managing complex schedules, coordinating academic and administrative activities, and supporting research, education, and faculty-related initiatives within the Department of Urology.

Salary Range: Minimum $53,000 - Midpoint $66,000 - Maximum $79,000

KEY RESPONSIBILITIES
Executive & Administrative Support
• Maintain overall responsibility for internal activities of the Department Chair and partial responsibility for two assigned non-clinician faculty members
• Manage multiple complex administrative and academic projects with competing priorities
• Compose, prepare, and manage correspondence, agendas, meeting announcements, and informational documents with strict confidentiality
• Track all incoming and outgoing correspondence and communications
Calendar, Travel & Expense Management
• Maintain and manage the Department Chair's calendar, ensuring timely scheduling and proactive conflict resolution
• Coordinate travel arrangements using SAP Concur, including flights, hotels, car rentals, and meeting registrations
• Prepare and submit travel expense reports and provide reimbursement tracking spreadsheets to faculty
• Calculate expenses, reconcile physician accounts, and maintain documentation for invoices, check requests, and travel requests
Academic, Research & Presentation Support
• Type and format manuscripts, book chapters, abstracts, protocols, and grants in accordance with institutional and publication guidelines
• Provide administrative support for grant submissions and protocol preparation
• Design, format, and produce error-free presentation slides and assist with poster editing and preparation
Faculty Administration & Compliance
• Assist with faculty appraisals, time-off request processing, and curriculum vitae updates
• Update NIH biographical sketches using the FIS system
• Submit and track medical licenses, visa information, and required certifications, providing renewal notifications prior to expiration
• Assist the Office Manager with training new employees on administrative processes

EDUCATION
- Required: High school diploma or equivalent. Specialized training in secretarial skills
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 6 years Administrative/secretarial experience supporting a leadership/executive level position. or
- Required: 2 years Required experience with Bachelor's degree.
