The primary purpose of the Coordinator position is to facilitate the daily surgery schedule of the NonOR Anesthesia areas (NORA) exercising independent judgment and authority as required. Utilize strong interpersonal skills to communicate with a variety of internal and external customers.
Shift: Monday - Friday primarily 8:00 am - 5:00 pm (flexibility to work varied schedule; shift assigned/adjusted based on business needs)
Key Functions
1. Coordinate care in a fast-paced clinical environment for assigned procedural areas.
2. Facilitation
a. Assists with coordination of care for the NORA procedures in a timely manner.
b. Provide Anesthesia Teams with any updated information or additional paperwork.
c. Work closely with clinical teams to ensure patient readiness for procedures.
d. Inform the Program Manager of issues that may arise regarding timeliness of procedures, patient concerns, and NORA area conflicts.
e. Use forethought in addressing potential problems before it becomes an issue.
f. Coordinate care and patient flow for designated procedure areas.
3. Organization
a. Assist with schedule coordination/reconciliation. Contact clinical teams and/or patients regarding procedures/appointments or other clinical issues.
b. Data entry of all same-day add-ons and cancellations; proficient in Microsoft Programs.
4. Communication
a. Communicate effectively with assigned NORA anesthesia areas regarding case status and coordinating same-day add-ons.
b. Convey updated status and staff relief needs to the ANES CON board runners/clinical leadership.
c. Remain well-informed of all activities, results of efforts, and problems identified and/or potential issues.
5. Administrative responsibilities.
a. As delegated, be a point of contact when the Program Manager is unavailable.
b. Attend meetings as assigned.
c. Coordinate care of dual procedures; approve over-book appointments, communicating with other clinical areas/departments
d. Inform Program Manager of patient concerns for designated areas of responsibilities and keep Program Manager informed of situations and outcomes.
e. Generate staff schedules in EZ Call, as directed my Program Manager
f. Manage the Web On Call schedule for APM
g. Maintain the OOOR Coordinator Manual
h. Update Organization charts; Emergency Calling Trees; Business Continuity Plan
i. Submit work requests for repairs, key request, equipment issues, new equipment.
j. Order office supplies and coffee supplies for all clinical areas assigned and maintain the inventory.
k. Maintain/audit clinical supplies.
6. Perform other duties as assigned.
EDUCATION:
Required: Bachelor's degree in Business, Healthcare Administration or related field.
Preferred: None.
EXPERIENCE:
Required: Three years program management experience in a patient care environment. May substitute required education degree with additional years of equivalent experience on a one-to-one basis.
