Summary
The primary purpose of the Senior Administrative Assistant position is to provide complex administrative and secretarial support assigned to the Clinical Administrator Director. The Sr. AA will use independent judgment, problem-solving, prioritization of tasks, and independent planning and implementation of projects.
Sr. Administrative Assistant opportunity in the Cardiopulmonary Center department. The ideal candidate must have a high school diploma or equivalent and at least five years of administrative/secretarial experience.
Prefer candidates with Microsoft Office (Excel and PowerPoint), who possess clear written and verbal communication skills. Able to work well independently or with a team, task-oriented, and organized.
The ability to multitask, problem solver, work independently with minimum supervision, be detail-orientated, and have good organizational skills is a plus. This individual will provide administrative support to the Clinical Administrative Director and assist with administrative tasks/operations across the entire center.
Shift: Monday - Friday 8:00 am - 5:00 pm (hybrid with 3 days onsite)
Key Functions
1. Serve as primary Kronos Timekeeper.
2. Responsible for managing the purchasing and distribution of departmental office supplies via Resource One.
3. Manages the oversight for the departmental inventory and record maintenance.
4. Serve as primary for the departmental space survey and asset management.
5. Provide administrative support to the Clinical Administrative Director and Leadership team.
6. Serve as a backup to the OSS with cash drawer closing
7. Responsible for all epaf transactions.
8. Responsible for all Taleo submissions.
9. Ensure that org chart are up to date based on staff arrival/departure.
10. Responsible for managing shared drive and ensure CPC HR folder has all pertinent documents and files saved.
11. Provides comprehensive administrative/secretarial support to include assistance with manuscripts, CV, and abstracts.
12. Compose formal and informal correspondence and documents, creates, edits, and formats presentation, and compiles reports as needed.
13. Maintains employee files, licenses and certifications.
14. Manages calendars while appropriately communicating with team of any date and time conflicts, confirmation of completed requests, and meeting reminders.
15. Prepare and coordinates travel itineraries within the Concur System Database, and ensures timely submissions for reimbursement expense reports.
16. Ensure timely order of Center supplies.
17. Responsible for maintaining back up support for reconciliations.
18. Maintain meeting minutes when needed.
19. Track balance and use of CAD funds.
20. Serves as Center procard holder.
21. Maintain and track all institutional mandated training for the Center.
22. Demonstrate proficiency in the use, operation, and routine operator maintenance of office equipment.
23. Assist in the coordination of departmental special events (i.e. employee recognition, retreats, varied initiatives, etc.)
24. Assists in strategic planning for the department as determined appropriate by supervisory personnel within the Department.
25. Perform other duties as assigned.
EDUCATION
Required: High school diploma or equivalent. Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience.
Preferred: Associate's or Bachelor's degree
EXPERIENCE
Required: Five years of administrative/secretarial experience.
Preferred: Five years secretarial/administrative experience in an oncology clinical/hospital setting.
Required: Must pass pre-employment skills test as required and administered by Human resources.
