Program Coordinator - Gastroenterology Hepat & Nutr

The mission of The University of Texas M. D. The ideal candidate will have experience with Microsoft Office Suite, including Outlook, TEAMS, Excel, and Word, and will be comfortable managing on-call schedules. This individual will be responsible for creating and managing departmental call schedules to ensure effective coverage at all times.

In addition to scheduling duties, candidates should be experienced with EPIC, demonstrating proficiency in navigating and utilizing the system efficiently. We are looking for someone who is a true go-getter with a positive attitude and a strong ability to manage multiple tasks in a fast-paced environment.

Strong communication skills, attention to detail, and the ability to collaborate with team members across various departments are essential to succeed in this role.

Summary

The primary purpose of the Program Coordinator position is to coordinate programs, projects, and special events. Utilizes strong interpersonal skills to communicate and coordinate all aspects for the Department of Gastroenterology, Hepatology and Nutrition. This position exercises independent judgment and authority as required to perform independently in planning, coordinating, and following through for programs as they relate to supporting the Department Chair, Deputy Chair, Mid-level Practitioners, Quality Assurance Officer, and the Department of Gastroenterology, Hepatology & Nutrition activities.

Key Functions

· Coordinate department's purchasing processes

· Supply Chain coordination

· Materials management support

· Asset Management: new equipment and supply requests.

· Critical Alarm support

· Coordinate department inventory process.

· Manage Department Procard usage and reconciliation.

· Coordinate department moves, relocations and lab closures. Submit FARs when needed.

· Assists with new faculty on-boarding processes.

· Update and publish ERCP Call schedule.

· Provides high level support to three (3) clinical faculty.

· Prepares presentations for meetings and seminars as required.

· Travel: Utilizes Concur Database to set-up domestic and international travel, as well as reimbursements.

· Document preparation, faculty CV's, annual faculty evaluation, re-credentialing packet, etc.

· Maintenance of calendar, including committee meetings.

· Primary back up to critical departmental responsibilities: institutional bi-annual re-credentialing process & GHN's MLP Program.

· Facilitates all components necessary for project initiation, implementations, and completion.

EDUCATION: Bachelor's degree in Business Administration or related field.

Education preferred: Master's degree.

EXPERIENCE: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
