The Senior Administrative Assistant supports the Environmental Services Department at MD Anderson Cancer Center by providing advanced administrative, financial, and operational support that enables safe, efficient hospital operations. The Environmental Services Department plays a critical role in patient care through thorough cleaning, sanitization, and disinfection across patient rooms, operating suites, waiting areas, and all hospital spaces, directly supporting healing and clinical outcomes. The Senior Administrative Assistant works closely with Directors and Managers across EHSSEM groups to coordinate projects, schedules, records, and budget-related activities that support institutional readiness and continuity.

The ideal candidate for the Senior Administrative Assistant role is professional, articulate, organized, and eager to learn, with strong administrative judgment, excellent communication skills, and the ability to manage multiple priorities under pressure. Preferred qualifications include a strong educational background in business, progressive administrative experience, accounting or finance exposure, and advanced proficiency with Microsoft Office tools, particularly Excel, along with the ability to support senior leaders and collaborate with diverse stakeholders.
Salary range for this position is Minimum $45,500.00 - Midpoint $57,000.00 - Maximum $68,500.00

KEY RESPONSIBILITIES
Administrative & Project Coordination
• Develop and determine priorities and monitor the status of special projects
• Coordinate department-wide meetings and events, including scheduling attendees, locations, agendas, materials, catering, and meeting minutes
• Maintain accurate calendars with attention to conflicts, cancellations, and appropriate time allowances between meetings
Communication & Documentation
• Compose and proofread formal and informal correspondence using proper grammar and spelling
• Prepare mail merges, reports, graphs, organizational charts, flyers, invitations, and PowerPoint presentations
• Maintain confidential departmental records, filing systems, and records management processes
Financial & Budget Support
• Monitor and balance budget activities using monthly account updates and ResourceOne
• Enter, track, and follow up on purchase requisitions and purchase orders to ensure timely issuance, payment, and closure
• Maintain documentation for invoices, receiving records, check requests, petty cash, and warehouse materials
• Assist with budget preparation, advise leadership on budgetary needs, and reconcile ProCard and department funds monthly in accordance with institutional policies
Systems, Assets & Operational Support
• Serve as content manager for departmental portal pages and document libraries, ensuring content remains current
• Coordinate asset transfers, computer lease refresh activities, and annual asset inventory reporting
• Track departmental asset inventory and submit required documentation to the asset coordinator
• Coordinate education and travel requests, approvals, planning, and reimbursements
• Serve as backup support for EH&S administrative areas, including phones, mail, meetings, office equipment, and supplies
EDUCATION
• Required: Bachelor's degree in Business Administration or similar
• Preferred: Master's degree in Business Administration
WORK EXPERIENCE
• Required: Five years of administrative or secretarial experience or one year of experience with a Master's degree
• Preferred: Advanced skills in Microsoft Office with emphasis on Excel, experience using Power BI, and knowledge of AI tools such as Copilot or similar platforms. Must pass pre-employment skills test as required and administered by Human Resources.
