The ultimate goal of the Cancer Prevention and Population Sciences division is to keep people in a state of health and wellness, preventing them from crossing the threshold to disease and requiring treatment.
The primary purpose of the Program Coordinator position is to perform highly responsible and complex program and administrative coordination for the Cancer Prevention Research Training Program (CPRTP). This position will coordinate research program initiatives, fellowships, and career development activities.
The ideal candidate has experience supporting faculty with strong organizational skills, attention to detail, and the ability to manage multiple priorities. A background in program or project coordination, experience organizing workshops or seminars are preferred.
Minimum $25.48 - Midpoint $31.73 - Maximum $37.98 per hour
Work Location: Hybrid - Onsite once a quarter and as business needs.

Responsibilities
Program Coordination
• Coordinate the NCI R25 ALL Cancer CARE program and related programs by organizing, scheduling, and attending weekly Zoom meetings
• Create meeting agendas, record minutes, and manage program budgets and expense tracking
• Organize seminars, workshops, pilot study administration, and the Trending Topics seminar series
• Coordinate one annual, four-day, out-of-state workshop, including scheduling, logistics, and on-site support
• Manage travel coordination, including funding approvals, itineraries, hotel contracts, catering, transportation, and workshop materials
• Coordinate annual NIH grant progress reports and renewal applications using NIH eRA Commons systems
Fellowship Program Administration
• Coordinate the two-year postdoctoral fellowship program supporting up to 12 postdoctoral trainees annually
• Manage application reviews, appointments, metrics reporting, and advisory committee reviews and scoring
• Communicate with applicants, faculty mentors, trainees, staff, and leadership regarding awards, stipends, and appointments
• Track fellowship requirements and activities, including Responsible Conduct of Research and Individual Development Plans
• Organize progress meetings, job talks, halfway and final reports, evaluations, exit interviews, and research support activities
Trainee and Grant Administration
• Assist with annual grant progress reports, competitive renewals, and new grant submissions
• Contact trainee alumni to obtain updated education, career, publication, and award data
• Assist with grant data tables, forms, and required documentation
Financial and Purchasing Support
• Manage purchasing activities for staff and trainees, including purchase orders, vendor setup, invoices, check requests, and ProCard transactions
• Coordinate CONCUR travel reservations, expense reports, and conference registrations
• Manage software purchases, office supplies, books, and other program-related expenses
• Manage Total Contract Manager setup for program events and other assigned financial duties
Course and Data Management
• Coordinate two 16-week graduate courses each spring semester, including syllabus creation, registration, and enrollment
• Schedule instructors and speakers, track attendance, and manage room reservations and Zoom setup
• Coordinate final student presentations and submit final pass or fail grades
• Send thank you letters and manage instructor and speaker evaluations
Other duties as assigned
EDUCATION
• Required: Bachelor's Degree in Business Administration or related field
• Preferred: Master's Degree
WORK EXPERIENCE
• Required: Three years of project or program coordination experience or one year of required experience with a Master's degree
• May substitute required education degree with additional years of equivalent experience on a one to one basis
• Preferred: Must have prior experience supporting faculty. Experience organizing workshops/meeting is a plus.
