Assistant Transplantation Coordinator

The Stem Cell Transplantation MUD team at MD Anderson specializes in coordinating complex, life-saving transplants for patients who rely on unrelated stem cell donors from across the globe. Our team partners closely with national and international donor registries, transplant physicians, and multidisciplinary clinical staff to deliver safe, timely, and highly specialized care. In this fast-paced, detail-oriented environment, every team member plays a direct role in connecting patients with their best possible donor match and giving them a chance at long-term remission and cure.

The Assistant MUD Transplant Coordinator receives and reviews patient transplant workups from MUD Transplant Coordinators. This role creates and maintains the Assistant MUD Coordinator Checklist to track patients throughout the outpatient pre-transplant evaluation process and through inpatient admission.

This role works closely with SCT PSCs and MUD Transplant Coordinators to ensure all required testing is scheduled appropriately and completed within the required timeframes, including processing CIBMTR research blood samples, manages associated patient consents, and maintains the internal MUD patient research blood calendar. In addition, they reconcile daily ABO/Rh reports for MUD donors to meet billing requirements.

The ideal candidate will have at least a Bachelor's level degree, with a science background, as well as experience with scheduling, and be familiar with Epic. This candidate will also need to be comfortable handling blood samples. Experience as a Patient Services Coordinator (PSC) at MD Anderson is also preferred.

This role requires strong clerical skills and a working knowledge of Outlook, Adobe Acrobat, and Microsoft Word

The hours for this Onsite position are Monday - Friday, 8:00am - 5:00pm. The training for this position may be up to a year.

Hourly Breakdown of salary range: Minimum $27.64 - Midpoint $34.61 - Maximum $41.58

Job-Specific Competencies

Data Management
  • Demonstrates a thorough working knowledge of the EPIC system and BMT program databases.
  • Assists with correspondence to referring physicians and maintaining clear communication with all members of the transplant team throughout the MUD workup process.
  • Collaborates with MUD Transplant Coordinators regarding tests required prior to admission.

Pre-Admission Workflow
  • Maintains admission information and the Assistant MUD Transplant Coordinator Checklist for patients requiring an unrelated donor transplant.
  • Collaborates with SCT MUD Transplant Coordinators to ensure all components of the patient's workup and admission are complete.
  • Retrieves and reviews patient test results to confirm completeness and compliance with SCT admission criteria. All workups requested by MUD Coordinators are reviewed to determine appropriate scheduling, and the Assistant MUD Transplant Coordinator ensures any required corrections are completed.
  • Works closely with MUD Coordinators and physician teams to support smooth patient admissions and to improve the flow of information across the multidisciplinary team, with a focus on quality patient care.

CIBMTR Research Specimen and Consent Processing
  • Processes patient blood samples for CIBMTR research studies and ships specimens to the NMDP Research Repository.
  • Maintains the internal MUD research blood calendar and submits signed patient consents for scanning into the electronic medical record.
  • Ensures that adequate supplies are available to support patient care needs.

ABO/Rh Report Reconciliation
  • Receives daily ABO/Rh reports from the HLA Laboratory and outside testing facilities.
  • Reconciling both reports and adding required patient information to ensure billing requirements are met.

Marginal or Periodic Functions
  • Attends relevant meetings, workshops, and in-service sessions.

    Additional related duties may be assigned as needed.


EDUCATION

Required: Bachelor's Degree Related field.

WORK EXPERIENCE

Required: Three years Related experience to include experience working with databases.

May substitute required education degree with additional years of equivalent experience on a one to one basis.
