The Administrative Coordinator position within the Department of Lymphoma & Myeloma at The University of Texas MD Anderson Cancer Center provides essential administrative coordination and faculty support for a highly specialized clinical and academic department within the Division of Cancer Medicine. Responsibilities
Administrative Coordination and Support
• Coordinate administrative operations for projects and programs including the Lymphoma & Myeloma Fellowship Program, departmental VISAs, Department Grand Rounds, and Statewide Grand Rounds
• Serve as liaison with internal and external stakeholders to arrange meetings via Zoom or in person and coordinate business travel
• Prepare meeting itineraries, agendas, and PowerPoint presentations
• Record, prepare, and distribute meeting minutes to attendees
• Coordinate travel and meeting logistics for fellowship programs and invited speakers
• Coordinate and submit VISA applications and renewals for the Department of Lymphoma & Myeloma
• Coordinate conferences and meetings as requested by faculty program directors
• Process purchase requisitions in accordance with institutional purchasing guidelines
• Coordinate updates to the department website and faculty profiles
• Appoint postdoctoral fellows and observers in the Institutional SLATE system

Faculty Support
• Independently plan and manage deadlines, schedules, and calendars for faculty directors
• Maintain faculty extramural leave and staff development funds in PRS
• Maintain current faculty curriculum vitae, biosketches, publications, and speaking engagement records
• Assist faculty with slide preparation
• Track continuing medical education credits, licenses, and memberships
• Assist with faculty travel packets, itineraries, and expense reimbursements

Cross-Functional Administrative Tasks
• Conduct annual asset inventory for the Department of Lymphoma & Myeloma Faculty Center
• Serve as backup Kronos timekeeper for the department
• Collect and reconcile receipts to support reimbursement requests
• Prepare and submit expense reports for pre-approval

EDUCATION
  • Required: High School Diploma or Equivalent
  • Preferred: Associate's Degree
  • Preferred: Bachelor's Degree

WORK EXPERIENCE
  • Required: Seven years Administrative or related experience or Five years Required experience with Associate's degree or

    Three years Required experience with Bachelor's degree.
