Senior Administrative Assistant, UT Police Department - Houston

The primary purpose of the Sr. Administrative Assistant position with the University of Texas Police Department - Houston (UTP-H) is to perform complex administrative support requiring judgement within general guidelines. Spends a significant amount of time on project coordination and related functions. Uses independent judgement and complex analysis to gather facts and determine appropriate solutions based on prior experience. Impacts department efficiency and productivity and supports one or more senior and/or mid managers.


Project Coordination
  • Develops and determines priorities and monitors status of annual, recurring and special projects at UTP-H including the annual promotional process for the commissioned peace officer staff, space redevelopment planning initiatives, construction projects, department tours, etc.
  • Has administrative oversight as coordinator of the promotional process, collaborating with internal and external stakeholders to determine planning schedules, establish deadlines, monitor progress, reporting finding and ensuring compliance with ODOP standards, guidelines and policies.
  • Assists in strategic planning and collaborates with Facilities and other key contacts on space redevelopment initiatives.
  • Coordinates all FAR projects impacting the department and ensures timely completion in a deadline mandated environment.
Department Operations
  • Coordinates human resource activities as assigned.
  • Assists the department administrator and operations manager with assigned human resource projects benefiting the department.
  • Ensures timely submission of required reports/documents.
  • Participates and assists in recruiting operations by assisting in panel interviews.
  • Designated as a department timekeeper, assigned to process Kronos corrections as needed.
Administrative Support
  • Impacts departmental efficiency and productivity by supporting administrative staff and other assigned managers.
  • Receives and screens incoming calls, determines which are priority and alerts the managers accordingly.
  • Responds to and/or places telephone calls on behalf on the managers.
  • Coordinates and facilitates managers' calendars to arrange appointments, meetings and/or conferences.
  • Coordinates all travel activities for assigned Managers and Staff including registration, lodging, airline reservations and expense reimbursement requests utilizing institutional on-line travel database, Concur.
  • Prepares agendas and collects materials for meetings and conferences.
  • Takes meeting minutes and keeps records of proceedings.
Other Duties as Assigned
  • May be required to remain onsite or work extended hours during man-made or natural disasters and unusual occurrences on campus.
  • Local or long distance travel may be required for training or other business purposes occasionally.

Required: High school diploma or equivalent.
Preferred: Bachelor's degree.

Required: Five years of administrative/secretarial experience.
With preferred degree, one year of required experience.
